Part-Time Administration Assistant (8:00 A.M. - 1:00 P.M. - Monday - Friday)
We are seeking a detail-oriented and organized Part-Time Administrative Assistant to join a friendly environment in our engineering firm. In this role, you will provide essential administrative support, including proofreading and typing engineering memos, managing correspondence, answering phones, and performing general office tasks. Experience with Adobe InDesign software and QuickBooks is a plus.
- Proof-read and type engineering memos, ensuring accuracy and clarity in the review of site plans and correspondence.
- Answer incoming phone calls, take detailed messages, and transfer calls to appropriate staff members.
- Greet visitors and provide a welcoming and professional atmosphere in the office.
- Manage and distribute incoming mail and coordinate outgoing correspondence.
- Assist with scheduling appointments, arranging meetings, and managing calendars. Sometimes making travel arrangements for the owner.
- Maintain accurate records and files, including electronic and paper-based documentation.
- Assist with general office tasks, such as ordering supplies, maintaining office equipment, and organizing the office space.
- Collaborate with engineering staff to support project-related tasks and administrative duties as needed.
- Perform other duties as assigned by management.
Qualifications:
- High school diploma or equivalent.
- Minimum of 2 years of experience in an administrative or secretarial role, preferably in an engineering or related industry.
- Excellent proofreading, grammar, and typing skills.
- Strong organizational and time-management skills, with the ability to multitask and prioritize duties.
- Professional communication skills, both written and verbal.
- Proficient in Microsoft Office applications, including Word, Excel, and Outlook.
- Experience with Adobe InDesign software and QuickBooks is a plus.
- Able to work well and independently in a team environment and adapt to changing priorities.

Hudson Valley Credit Union is currently recruiting for the position of Member Support Services File Clerk. Primary Function: the Member Support Services File Clerk will coordinate the filing, faxing, monitoring and maintaining of all member files, stored checks and supplies. Execute procedures to image documentation, ship/retrieve forms for vendor processing and storage. Assist with transactions received by mail when necessary.
Responsibilities
- Conducts filing and scanning of documentation to update member files.
- Assists Member Services department with filing and retrieval of documentation.
- Coordinate files for record retention and work with vendor and/or general services to support and enforce record retention and operational policy and procedure.
- Process transactions received by mail as needed to support department volumes.
- Adhere to all Credit Union policies, procedures, and regulatory agency requirements. Participate in all required and recommended training and development including, but not limited to, Bank Secrecy Act training (BSA) and demonstrate attained knowledge. Participate on Credit Union teams, projects and strategic initiatives when the opportunity arises. Perform additional duties and special projects as assigned.
