Payroll Specialist

The Payroll Specialist is responsible for various payroll functions at the college. This position will be the main point of contact for the hourly payroll and serve as backup and provide direct support to the Director of Payroll. This position will also coordinate with other Human Resources staff for items affecting payroll.

Position Title: Payroll Specialist

Pay Status and Classification: Exempt, Regular Full-time

Immediate Supervisor: Director of Payroll

Position Purpose: This position is responsible for ensuring regulatory compliance requirements are met, promotes effective, efficient work processes and aligns with the strategic goals of the College.

This role is required to establish effective working relationships with members of the campus community and also ensure job responsibilities are completed timely and accurately.

Essential Responsibilities and Duties:

  • Payroll Processing:

    • Manages all aspects of Workday Time Tracking & Payroll.

    • Ensures timely completion of hourly payroll in accordance with labor regulations and standard accounting practices.

    • Reviews time entry for completeness and accuracy, reaching out to staff/supervisors as discrepancies are found.

    • Works with the supervisor or employee to resolve any payroll related questions or problems.

    • Processes wage garnishments, pay levies and other involuntary court-ordered payments in a timely manner, including reporting to the necessary state office or jurisdiction

    • Reconciles payroll prior to the printing of checks.

    • Processes payroll. Completes process to add VPAF electronic check signature and prepares checks for distribution as needed.

    • Processes on demand payments as needed

    • Assist with steps related to the processing of salaried payroll.

  • Administrative Processes:

    • Updates the yearly Holidays and Recess Calendar in Workday in coordination with the Director of Payroll

    • Provides mortgage and employee verifications as requested by outside agencies

    • Reports employee stats to DOL monthly

    • Conducts regular payroll reporting as required and assists with financial audits related to pay records and associated general ledger

    • Assist with Quarterly tax reporting requirement

    • Assists in the preparation, reconciliation and distribution of W-2’s and other year-end reporting requirements

    • Provides time tracking training when necessary

    • Assist with process to add or close jobs for hourly employees

    • Assist with hiring students into jobs

  • Office Support:

    • Conducts Workday testing as updates are released

    • Helps identify improvements that can be made in processes

    • Provides backup for front desk and phones

    • Provides guidance on college policy and labor laws

    • Stays up to date on federal and state labor regulations and guidelines affecting payroll and human resources

    • Assists with I-9 verification

Qualifications:

  • Bachelor’s Degree in Accounting, Business, or similar with 2+ years of payroll experience and/or a combination of relevant education, training, certifications, and/or work experience.

  • Workday experience preferred

  • Payroll tax experience preferred

  • Excellent interpersonal skills and sound judgement

  • Ability to multitask and meet deadlines

  • Solid mathematical skills

  • Aptitude for software applications

  • Excellent data entry skills with an eye for accuracy

Compensation:

The annual salary range for this position is $60,000-$70,000. Except for roles with a set rate of pay, the wage/salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The stated hiring rate/range represents the College’s good faith and reasonable estimate of the rate/range of possible compensation at the time of posting.
