Facilities Manager

PRIMARY FUNCTION: To oversee and manage all aspects of facility management including staff, repair projects, preventative maintenance, janitorial functions, fleet management, and construction. The Facilities Manager partners with the COO to achieve the strategy and facility goals of Lollypop Farm and is a member of the organization’s Safety Committee.


  • Ensure that structure, staff resources and systems are in place to effectively and efficiently support the overall facility operations goals, contractual and licensing requirements and Lollypop Farm policies and procedures

  • Project Management of various facility improvement projects

  • Champion safety initiatives and proactively mitigate potential safety hazards

  • Develop schedule for and oversee all preventative maintenance for all buildings

  • Oversee all daily repairs and job requests, schedule accordingly

  • Responsible for the maintenance of all company vehicles, including farm vehicles, maintaining repair logs and scheduling all repairs and routine maintenance.Participate in purchase of new vehicles when necessary

  • Oversee maintenance staff and ensure shelter is clean and orderly

  • Oversee maintenance of outside property, including lawn maintenance and snow removal

  • Seek out and negotiate quotes with contractors for building refurbishments and for work beyond that of staff skills.Ensure work is completed to standard and within budget.Maintain good relationships with contractors

  • Review and approve service contracts on HVAC, Burglar & Fire Alarms, Elevator, Cage Washer, snow plowing and waste disposal to ensure facility management needs and budget is met

  • Perform other duties as requested

  • Observe all safety rules and regulations for self and others

  • Member of the Safety Committee

  • Maintain good housekeeping


  • Hire, train, supervise, evaluate and develop staff and volunteers

  • Contribute to the plan and budget for Maintenance Department

  • Develop and maintain program reporting and evaluation, and meet budget goals

  • Member of management team that influences and enforces organization goals and policies

  • Implement other special projects as requested


To perform this job successfully, an individual must be able to perform each essential job duty satisfactorily.  The requirements listed below are representative of the knowledge, skill and/or ability required. (1)

  • At least 5-7 years facility experience in a management capacity preferably in the non-profit sector.   A minimum of a B.S. required

  • Possess a valid driver’s license

  • Experience with “Insight” Energy Management System

  • Solid computer skills in a PC environment with experience working with a variety of computer applications including Microsoft Word, Excel, PowerPoint, and internet usage.Comfortable learning and using online information systems

  • Strong interpersonal, communication, and organizational skills

  • Must have large scale project management experience, with the ability to manage multiple projects and demands

  • Knowledge of companion animals and their health and welfare issues is helpful

  • Must maintain positive and productive relations at all times with employees, colleagues, vendors, service providers, volunteers, donors, participants, and others

  • Ability to manage conflict and be tactful and fair minded. Ability to handle stressful and changing situations. Versatile, flexible, and willing to work within constantly changing priorities

  • Must be willing to change schedule or work extra hours as needed, including evenings and weekends

  • May be required to lift and/or move up to 50 pounds
