Fast paced Internal Medicine practice seeks Front Desk Coordinator
Job Description (under physician direction and/or following office policy):
Warmly welcome patients to our office. Efficiently complete a detailed patient check-in with kindness and professionalism. Oversee the administration of patient forms, communication of office policies, upkeep of accurate patient demographic data and collection of monies. Accurately schedule patient appointments, document nature of visit within EMR and obtain any records required for visit. Assist and anticipate the needs of the physician, and follow through with any instructions. Using the computer, actively work the tasks, inboxes and patient portal messages, which populate in our EMR operating system (athenaHealth). Contribute to the care and well-being of our patients from their arrival through their check out.
Responsibilities include, but are not limited to the following:
Maintain confidentiality per HIPPA regulations;
Be mindful of running on schedule and supporting an efficient clinic workflow;
Collect and accurately enter pertinent patient data and insurance information upon check-in;
Collect patient co-payment, any balance due and yearly fee;
Reconcile daily time of service receipts;
Answer busy multi-line telephone with excellent phone etiquette and efficiency;
Accurately triage and schedule patient appointments;
Make phone calls to patients to discuss test results, and respond to patient inquiries;
Schedule procedures, order labs, coordinate referrals, and call in prescriptions;
Communicate with insurance companies to obtain prior authorizations for tests and medications;
Properly address and process both paper and electronic clinical and/or administrative documents;
Maintain tidy waiting room and workspace and stock with necessary supplies and forms.
Previous medical office experience is a must (1 year or more);
Experience using and trouble-shooting general office equipment, computers and
electronic medical records systems (athenahealth);
Ability to multitask, follow through and complete tasks accurately;
Dependable team player and responsible professional who is detail oriented with strong organizational skills, excellent communication skills and has a courteous and positive attitude.
Hours and Benefits
Monday – Thursday, 8:00 a.m. – 5:00 p.m. (1 hour lunch break). Competitive salary and health insurance (following probation).
