Executive Assistant

Beulah Alliance Church invites applications for the temporary full-time position of Executive Assistant to our Lead Pastor and Senior Associate Pastor at our West Campus location. This 40hr/wk position is responsible to provide high-level support to ensure the administrative tasks and support functions required by the Lead Pastor and Senior Associate Pastor are completed in an effective, efficient, and appropriate manner.

We are looking for someone with outstanding verbal and written communication skills, who can utilize their knowledge and experience to provide high-level support to the Executive Office. The successful candidate will have a proven track record providing senior level administrative support to executives. They will possess the ability to multi task and work effectively with little or no direct supervision while proactively managing multiple tasks in a fast-paced environment. In addition to being adaptable and open to change, the incumbent must have high standards of ethics and confidentiality to handle sensitive information. They will bring a minimum 5 years of related work experience and preference given to those with a diploma or degree in administration support or related area.

 

The Executive Assistant is responsible to/for:

  • Provide day-to-day senior level administrative support including routine operations, key strategic initiatives and special projects.
  • Manage Pastor’s schedule by directing calls, making appointments, and receiving visitors.
  • Assist with research and preparation for internal and external committee work.
  • Provide high-level calendar management. Prioritize inquiries and requests while troubleshooting conflicts with little guidance; making judgments and recommendations to ensure smooth day-to-day functions.
  • Book facilities and make necessary arrangements for events and activities.
  • Record, transcribe, and distribute minutes of team meetings. Draft meeting agendas as required.
  • Act on Pastor’s behalf as agreed upon on a project-by-project basis.
  • Manage travel arrangements and complete bookings for other staff as requested.
  • Coordinate incoming and outgoing mail and email including review of magazines and materials.
  • Format and review sermon notes, monthly reports and manuscripts.
  • Assist in sermon research and proofing of correspondence.
  •  Assist with research and preparation for internal and external committee work.
  • Update various databases and maintain archived documents.
  • Organize and arrange for the Annual General Meeting.
  • Arranges and coordinate special events as requested.
  • Other administrative support work assigned understanding the varied seasonal demands of Pastors role.

 

Activities for the Board

  • Organize and arrange all Board of Elders meetings including annual Board Retreat.
  • Coordinate compilation and distribution of board minutes, monthly reports and overall package.
  • Serve as recorder for board meetings (monthly) and maintain a record of all official documents, board records, and ensures proper archiving of congregational meeting information.
