Administrative Assistant, Community Solutions
As an Administrative Assistant, you will perform clerical functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, and providing information to callers. You will report to the Program Coordinator and you will work onsite.
Responsibilities:
- Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.
- Operate office equipment such as fax machines, copiers, and phone systems, and use computers for spreadsheet, word processing, database management, and other applications.
- Greet visitors and callers, handle their inquiries, and direct them to the appropriate persons according to their needs.
- Maintain program shared electronic calendars (daily)
- Process staff requests for assistance with copying, correspondence, and mailings
- Maintain work relationships with Agency colleagues and engage in constructive communication both within and outside the Agency.
- Have a working knowledge of the program operations and functions.
- Follow Agency policies, procedures and guidelines.
- Maintain confidentiality in all administrative matters.
- Other duties as assigned.
Requirements and Education:
- Associates degree preferred and two years of office related experience, or High School Diploma/GED with two or more years experience required

Administrative Assistant - Financial Aid
Pay Status and Classification: Non-exempt, Regular full-time
Supervisor: Senior Associate Director of Financial Aid
Position Purpose: Provides comprehensive assistance to both prospective and current students and families as they navigate the financial aid application process. Works collaboratively with other key campus offices to facilitate seamless and efficient operations. Contributes to process improvement initiatives and data management efforts, optimizing the delivery of financial aid services to meet the diverse needs of our student population.
Essential Responsibilities and Duties:
- Student Support and Communication Management: Provides assistance to our students and families as they progress through the financial aid application process. This includes managing the general email account, answering phones and welcoming visitors. Provides exemplary customer service by responding with accurate and comprehensive information in a timely fashion. Assists with mass communications including mailings, emails, and annual postcard distribution. Oversees financial aid award letter process for both incoming and returning students, ensuring accuracy and timeliness.
- Data Entry and Organization: Reviews all incoming documents for accuracy followed by tracking and linking appropriately to the student record. Follows up with students and families as needed. Develops and maintains spreadsheets to monitor and track incomplete aid applications. Reviews and updates office procedures, identifying areas for improvement and implementing necessary changes.
- Liaison and Coordination: Serves as a liaison between the financial aid office and various campus departments including admissions, bursar, registrar, dean of students, office of residence life, and information technology. Ensures regular updates and information sharing among offices to streamline processes and enhance collaboration.
- Office Administration: Manages office supplies, monitors inventory levels, and processes payments efficiently to support office functioning. Assists in creating and updating PowerPoint presentations for various office needs.
Qualifications:
- Associate’s degree or a combination of relevant education, training, certifications, and/or work experience.
- Proficiency in software programs including Microsoft Word, Excel, Google Suite, and PowerPoint.
- Experience with integrated student management software such as Colleague highly desirable.
- Proficiency in multitasking, self-directed work, and effective prioritization of demanding workloads.
- Ability to communicate effectively through both written and oral means is essential.
- Ability to deliver strong customer service is essential.

Administrative Assistant - Math Department

Supervisor: Assistant Vice President of Academic Planning and Operations with dotted line to department chair.
Position Purpose: Provides clerical, administrative and project support to the department of mathematics. Serves as the liaison between the department, internal and external guests. Greets and assists guests who enter the department office. Contributes to a team of faculty department administrators.
Essential Responsibilities and Duties:
- Office Support: Provides support for department associated activities, to include managing the schedule/calendar, screening and handling telephone communications, routine, filing, typing, copying, binding, scanning, ordering and organizing necessary office supplies, greeting and directing visitors, managing and creating content for department websites. Serves as a primary point of direct administrative contact and liaison with other offices, individuals, and external institutions and agencies on a range of issues. Supervises, trains and hires student employees.
- Event & Travel Coordination: Manages all department events, dinners, seminars, conferences under the general supervision of the Department Chairs (i.e. maintains an event budget, makes campus contacts with dining services, instructional technology or any other campus contact necessary for the event, makes hotel and travel arrangements for speakers, creates and posts seminar flyers, etc.). Assists with securing housing, dining locations and, venues for class and speakers, receipt processing, and other related activities
- Search Coordination: Provides full support in hiring faculty. Tasks include, but are not limited to: maintaining and organizing records of all job applications received, scheduling on-campus visits (including hotel, transportation, and dining services reservations), helping with scheduling job seminars, student meetings with the visiting faculty, etc.
- Administration: Organizes, processes and analyzes department data including but not limited to calculating grade point averages for senior honor students and honor society inductees, assisting in the planning and tracking of activities related to the departments' respective study away programs, completing forms for the registrar (e.g. course schedules, final exams, etc.), assisting and facilitating in building and maintaining an alumni network and supporting fundraising activities. Assists administrative colleagues with other College assignments as needed and offers to assist during crunch times and overlapping deliverables.
Qualifications:
- High school degree or equivalent and three to five years of administrative experience, preferably in an academic setting, or a combination of relevant education, training, certifications, and work experience.
- Excellent communication and interpersonal skills and ability to work independently in a fast-paced environment carrying out administrative duties.
- Extensive computer skills, such as working knowledge of Microsoft Office and Excel, Google Suite (Gmail, Google Calendar, and Google docs).
- Ability to use and learn new software quickly
- Familiarity with web content management systems.
- Ability to work onsite in an office setting including ability to stand and sit for extended periods.

Job Summary | The Administrative Specialist independently performs a variety of advanced administrative tasks, in person, for the Center for Biotechnology and Interdisciplinary Studies (CBIS). The Specialist works closely alongside the Administrative Coordinator to perform a variety of clerical tasks to ensure the efficiency of the department's processes. Job Summary | The Administrative Specialist provides administrative support for faculty and staff in the Department, the professional student activities and chapter groups, and the DOE Community Engagement Project. The Administrative Specialist assists the director of the undergraduate and graduate program, is responsible for the department image materials including the department website, electronic and print media, responds to DOE Project’s routine correspondence, event planning, file and database maintenance, and will also be responsible for the collecting information and reporting process of DOE project. |

This position is the primary contact for Empire Merchants North customers and sales employees regarding customer inquiries and customer orders. Maintain and build customer satisfaction.
ESSENTIAL POSITION RESULTS
- Receive customer, driver and sale rep calls by answering phone, email or other communications for, but not limited to: new accounts, credits, returns and exchanges, researching particulars for pricing and quantity discount disputes, invoice or credit copies, placing new phone or online orders and questions.
- Document customer requests regarding delivery on Shared Excel Logistics Tracker
- Research customer inquiries; short shipments, mis picks, delivery time, etc. by communicating with logistics, operations, or inventory departments.
- Support sales associates’ inquiries by answering questions and helping to direct to appropriate dept if needed.
- Report all customer correspondence and/or issues to Team Lead
- Provide Reception duties on a shared rotational schedule but not limited to schedule.
- Duties performed at reception include, but are not limited to scanning of credit, will call and/or delivery invoices. Process/and or assist in credits. Will Call procedure.
- Ensure that all NY State Liquor Authority credit regulations are adhered to.
- Communicate and understand the customer’s calls by listening with a focus on the customer’s needs while maintaining company policies and procedures.
- Maintaining a positive and friendly attitude by listening and responding to all customer and EMN employees.
- Maintains a safe and clean working environment by complying with procedures, rules and regulations.
COMPENSATION & BENEFITS

Job Summary | The Sr. Business Manager reports to the Vice President of Information Services and Technology, and Chief Information Officer. This role is responsible for managing the business and financial operations of the portfolio including finance, budget, personnel, space and facilities planning, and oversight of all fiscal and operating protocols.
